About Vice Deanship

The vision of the College of Science aims to achieve the highest standards of academic quality and program effectiveness, derived from the vision of Imam Abdulrahman bin Faisal University. In alignment with this, Vice Deanship is committed to achieving excellence in education by continuously developing academic programs. These programs are designed to bridge the gap between their outcomes and the evolving demands of the labor market.

The College of Science makes efforts to seek excellence and attain an advanced ranking among colleges at other universities. The Vice Deanship of academics supports this by enhancing performance across all areas, particularly academically, and striving to provide suitable environments for delivering outstanding, effective education and high-quality community services. Its primary focus is on the students, fostering their academic development and connecting them with their future career. Therefore, the Vice Deanship has developed academic programs that emphasize activating the role of the student and stimulating their intellectual potential by integrating theoretical and practical aspects. These programs are designed to equip graduates with the ability to link their learning with future experiences, utilizing all available educational resources to acquire knowledge and apply it effectively in the development of their professional specializations.  

The deanship adopts an academic approach that is based on maintaining quality assurance and academic accreditation. It seeks to improve the teaching process by applying modern methods that shift focus from input to output. This approach also strengthens the practical aspects to enrich the students' cognitive and scientific skills. The ddeanship is committed to offering special track academic programs in line with modern developments, aligned with the objectives of Vision 2030, and responsive to the community needs.

 Duties: 

  • Supervising the implementation of regulations and executive rules for the undergraduate studies and examinations regulations.
  • Supervising the development of academic programs and ensuring the quality of learning outcomes.
  • Supervising the units affiliated with Academic Affairs.
  • Supervising the preparation of student schedules in academic departments and coordinating with other colleges in collaboration with the Deanship of Admission and Registration and the Timetable Committee.
  • Supervising the distribution of students to the various college departments in coordination with the departments.
  • Supervising the conduct of final examinations and forming examination committees, in coordination with academic departments and the Deanship of Admission and Registration.
  • Supervising the implementation of admission and transfer regulations to and from the college and between academic departments.
  • Chairing committees under the Agency and submitting their reports to the relevant authorities.
  • Supervising the process of course equivalency.
  • Supervising requests for deferrals and withdrawals from studies, as well as course add/drop processes for undergraduate students in accordance with the applicable regulations and decisions.
  • Supervising the preparation of graduation lists.
  • Supervising the activities of the college's orientation week.
  • Guiding and advising students, addressing academic issues, and coordinating with the University Counseling Center.
  • Coordinating with the college's units in relevant areas.
  • Monitoring the updates of the college’s website regarding the Agency and its affiliated administrative units.
  • Providing regular reports to the Dean of the College on the progress of work in the units under the Agency’s responsibility, including the challenges they face.

Deanship of Academic Affairs Units:

Academic Supervision Unit

This unit is responsible for welcoming and guiding new students, introducing them to the college and its various departments, and preparing them for study and university life. It also provides guidance to college students academically, psychologically, socially, and professionally, and provides them with advice, and cares for stumbling students and those about to stumble, as well as outstanding and talented students.

Objectives

  • Preparing new students to adapt and acclimatize to university life. 
  • Creating the appropriate conditions for achieving healthy growth for university students. 
  • Providing students with accurate information about the college, regulations and rules, resources and academic programs.
  • Enhancing students’ academic achievement, raising their capabilities, and overcoming the obstacles they face during their years of study.
  • Reducing the chances of academic stumble (preventive guidance).
  • Providing advice and assistance to college students with academic problems. Caring for and taking care of students who are at risk of failure.
  • Sponsoring outstanding and talented students and providing what would enhance their capabilities and support their creativity.
  • Providing care and assistance to students socially, financially, health-wise, psychologically and professionally in coordination with the relevant authorities in the college/university.

  • Preparing an executive plan for academic supervision.
  • Assigning academic supervision coordinators at the college level for each academic department.
  • Raising awareness among students about the goals of the academic supervision unit and how to benefit from through meetings and publications.

  • Studying special cases of students, such as those on academic warning or struggling academically, then seeking the best solutions to guide them and prevent future academic difficulties, while referring them to the Counseling Services Unit.

E-learning Unit

The E-Learning Unit seeks to achieve the college’s strategic goal through the “Electronic Initiative” which aims to convert courses into fully electronic content in cooperation with the Deanship of E-Learning.

Objectives

  • Enabling all teaching staff members to use e-learning and distance learning tools and systems.
  • Providing the necessary support to teaching staff members and solving all problems related to e-learning and distance learning systems.
  • Converting academic courses into electronic courses.

 

Tasks

Schedules Unit

The Schedules Unit is considered one of the important units in the Deanship of Academic Affairs at the college, as it performs tasks directly related to the progress of academic work in the college. 

The work in this unit continues throughout the academic year, as it generally prepares the study schedules for all departments in the college in coordination with the schedulers in the departments. 

The success of the schedule coordination process contributes and participates in the success of the educational process and thus in the regularity of study.

Excellence in performing the tasks assigned to the Academic Schedules Unit, ensuring the regularity of the educational process and improving its quality.

 

Mission

The unit seeks to contribute to the regularity of the educational process by carrying out the tasks and activities assigned to it by the college administration, which contributes to providing an educational environment with a clear vision that enjoys the application of quality standards.

Tasks

  • Preparing schedules for course sections that include: lecture timings, section capacity, classroom location, and the name of the faculty member, in collaboration with the scheduling committees of academic departments.
  • Organizing final exam schedules and midterm assessment schedules.
  • Monitoring classroom occupancy rates, gathering feedback, and assessing the college's needs.
  • Providing a service for booking classrooms at various times for faculty members.
  • Supervising the preparation of schedules for general courses and coordinating with the colleges offering these courses.

Student Services and Activities Unit

The Student Activities Unit aims, through student clubs, to instill religious, moral, national and social values ​​in the souls of students and to work on building and developing the personality of students through their participation in student activities. Many student activities fall within the unit.

 

Mission

Providing pioneering student activities and actively engaging students to provide them with distinguished skills capable of participating in international and local forums.

 

 

Objectives

  • Strengthening the value of belonging to the university and loyalty to the homeland.
  • Developing the spirit of affection and bonds of brotherhood and friendship based on Islamic values ​​among university students.
  • Providing the opportunity for university students to participate in activities that suit their inclinations, abilities, readiness, talents and specializations.

Tasks

  • Supervise and participate in the preparation of the annual plan for student activities.
  • Develop quarterly and annual work plans for student activity programs and their proposed budgets in collaboration with each club supervisor to present to the Dean of the College.
  • Preparing an appropriate environment for student activities by providing dedicated offices for academic clubs, a common area for various events (college hall), and allocate adequate space for each academic club.
  • Supporting the various student activities, such as: visits, festivals, lectures, seminars, courses, workshops, and club inaugurations.

Academic Programs and Plans Development

The Academic Program Development Unit is a unit concerned with following up on the creation and development of academic programs.

Tasks

  • Developing a plan for the college to update or create academic programs for the academic year.
  • Following up the progress of the timeline for curriculum development with the academic departments in the college.
  • Following up on academic plans with the departments.
  • periodic and semester-based follow-ups with the academic departments regarding updates and developments in course content and references.
  • periodic and semester-based follow-ups with the academic departments on course reports and continuous development plans.
  • Following up and supporting the recommendations relevant to the college, as outlined in the report on restructuring academic programs approved by the University Council.
  • Evaluating proposals for interdisciplinary program, double, and minors’ majors of the college.
  • Reviewing proposals submitted by the departments and providing recommendations.
  • Serving as a liaison between the college and the Curriculum and study plans regarding all aspects of program development.
  • Ensuring compliance with the requirements for preparing program documentation before submitting it to The Standing Committee for Study Plans and Programs.
  • Conducting ongoing studies on labor market needs for new outputs and initiating new academic programs aligned with modern advancements and according to the guidelines for establishing new programs.
  • Organizing workshops for members of the Curriculum, Study Plans Committee and individuals interested in fostering their skills in this field.

Admission and Registration Unit

Defining the Admission and Registration Unit
It is concerned with serving students during the registration of their academic courses, solving their problems related to that, and following up on requests for apology, postponement, re-enrollment, change of specialization, and withdrawal from the course.

 

Services provided by the Admissions and Registration Unit:

  1. Following up on registration requests through the student records system. 
  2. Registering students on warning, visiting and transfers. 
  3. Communicate with the College of Arts and Science track and submit requests to registering students in some of their courses. 
  4. Registering students who are failing in all departments and the general level. 
  5. Following up on requests to withdraw from courses. 
  6. Following up on excuses for absence and respond to them with rejection or acceptance. 
  7. Study the cases of some female students (additional opportunity - re-enrollment ...) 
  8. Reviewing the lists of graduates and verify their accuracy and list any amendments, if any. 
  9. Include and review the schedule of academic courses for the semesters and the summer semester. 

Task

  • Reviewing transfer requests submitted by students via the online portal and ensuring that transfer requirements are met.
  • Compiling and processing visit requests from within and outside the university in accordance with applicable regulations.
  • Fully supervising the registration process for students' courses, addressing technical or logistical issues promptly.
  • Continuously reviewing registration requests and submitting daily reports to the Vice Dean to ensure proper action is taken and students' registration is completed.
  • Entering course schedules into the university system and thoroughly verifying their accuracy.

Field Training Unit

It is the link between the student, the academic department and the training institution. It plays a fundamental role in the process of scheduling the training schedule and selecting the training institutions that suit each department in the college.

Mission

Qualifying students to compete in the local labor market by forming effective partnerships with public and private sector institutions related to the college’s programs.

 

Tasks

  • Preparing a guidebook on field training, including the mechanisms, regulations, and requirements. This guide should be updated regularly to reflect new policies.
  • Organizing workshops in collaboration with other entities to familiarize students with the nature, objectives, and regulations of field training. These workshops are offered to students expected to begin their field training each semester.
  • Developing a plan to prepare and educate students expected to undergo field training to acquire the necessary skills and performance for the labor market (through workshops and informational lectures).
  • Communicating with available workplaces suitable for students of the College of programs, and making a continuously updated database.
  • Communicating with workplaces and send follow-up reports about the trainees.
  • Receive reports from each trainee at the end of the training period and forward them to the academic departments for necessary actions.
  • Coordinating with academic departments to identify students' training needs or the training programs to be implemented.

Evaluation and Examinations Quality Unit

The Evaluation and Examinations Quality Unit at the College of Science and Humanities in Jubail seeks to implement the policies of the Evaluation and Examinations Quality Center, which was established as one of the executive projects of the first axis of the strategic plan of the University Deanship of Academic Affairs "High-quality academic programs", and to achieve one of the sub-goals of the first main goal "Improving the quality of existing academic programs", which is improving practices related to evaluation and examination. The Evaluation and Examinations Quality Center at Imam Abdulrahman bin Faisal University aims to adopt advanced systems and mechanisms for student evaluation and examining in a way that achieves quality standards and academic accreditation based on justice, objectivity and responsibility.

 

Objectives

  • Cooperating with the Quality Center for Evaluation and Examinations of the University Deanship of Academic Affairs. 
  • Supervising the work of the Quality Committee for Evaluation and Examinations in each academic program in the college. 
  • Ensuring the quality of the student evaluation and examination process in the college. 
  • Following up on the implementation of the evaluation and examinations policies at the university in all college programs.

Examinations Procedure Office

It is concerned with organizing the procedures for the final theoretical exams.

Tasks:

  • Provide sufficient training for faculty members through lectures and workshops to enable them to measure and assess students' performance in line with the requirements of the Education and Training Evaluation Commission - Higher Education Sector.
  • Supervise item banks and establish a mechanism for utilizing the statistical analysis of test items.
  • Ensure that faculty members use matrices and equivalent tools, such as verbal grading scales.
  • Prepare technical reports on tests, highlighting strengths, weaknesses, and notable practices.
  • Develop mechanisms and plans to measure the effectiveness of the systems used in student assessment and testing.
  • Accuracy, transparency, and fairness in evaluation, testing, and statistical processes.
  • Standardize test criteria and specifications for students across different majors .

A unit concerned with serving graduating students, completing their procedures, and delivering their graduation documents.

Tasks

  • Reviewing the lists of expected graduates by referring to follow-up reports and academic records.
  • Compiling the names of students not included in the official lists from the deanship and reporting them to the graduates' department.
  • Announcing the lists of expected graduates to the students and ensuring the lists are complete.
  • Reviewing the lists of students expected to begin practical training by referring to follow-up reports and academic records.

Measurement of Learning Outcomes Unit

Extension Services Unit

It is a unit that is concerned with following up on the academic status of students to help them adapt to university life and provide them with academic support to build a successful and sound academic experience at the college. It also provides support and guidance to students at the college and works to develop their academic, social, psychological and professional skills. The unit works in coordination with the University Counseling Center

Mission

The University Counseling Center seeks to provide high-level mental health services that support students’ academic, developmental, psychological, personal, and social interests. To achieve this, the Counseling Center provides individual counseling, group counseling, academic counseling, career counseling, emergency and crisis intervention services, awareness programs, psychological assessment, and psychological consultations. The team is constantly updated on the latest counseling practices and research findings in the field of counseling, and they provide research that contributes to improving the university environment.

Standardized Testing Unit

Based on Imam Abdulrahman bin Faisal University’s endeavor to achieve the goals of the Kingdom’s ambitious Vision 2030 in raising the level of higher education outcomes and improving the quality of graduates’ characteristics in order to compete in the labor market and increase employment opportunities, the university has adopted the standardized graduation test as one of the tools for verifying students’ achievement of the program learning outcomes. Academy, and their acquisition of the most important knowledge and skills in the field of their profession and academic specialization, in a way that supports academic and international accreditation processes.

Objectives of the standardized graduation test:

  1. Direct measurement of the extent to which students about to graduate achieve the academic program learning outcomes.
  2. Support and prepare students expected to graduate to pass professional exams in the future
  3. Raising the level of university graduates to achieve competitiveness in accordance with the requirements of the labor market
